Clock in: start your shift
How to clock in on site: location check, phone check and a quick selfie. Plus what the clock-in reminder does.
For guards
Clock in
- Step 1: Open Velkeep at the site. My shifts lists your rota shifts from yesterday to a week ahead, by day, with the site, times and whether each one is done, due, upcoming or missed.
- Step 2: Tap Clock in next to the shift that is due. For work that is not on your rota, open "Not on the rota? Start at a site" and tap Start. Velkeep checks your location: you need to be within the site radius.
- Step 3: Velkeep checks this is your own phone.
- Step 4: If your company asks for it, take a selfie with the front camera and tap Use photo.
- Step 5: You are clocked in. On asset sites, photograph every asset now.
The "Time to clock in" alert
When you are on the rota, Velkeep sends an alert as your clock-in time opens. Tap it: Velkeep opens, checks you are on site and clocks you in with one tap. If you have not clocked in once your shift has started, you get a reminder and your manager can see it.
One clock-in per rota shift
Each rota shift can be clocked into once. After you clock in and out, it shows Done and cannot be started again. You can clock in up to 4 hours before a shift starts.
Night shifts that finish the next morning show (+1) after the end time, for example 22:00–06:00 (+1).
"You are too far from the site"
Move closer to the site and tap Try again. Indoors, GPS can be poor: step outside for a few seconds. Your manager can see how far away you were.
"This phone is not approved yet"
Your account works on your own phone. If you changed phone, cleared the browser or reinstalled the app, it counts as a new phone and your manager is asked to approve it. Try again once they have. You cannot clock in on a colleague's phone.
The clock-in selfie
Hold the phone at arm's length with your face inside the outline and tap the button. The photo is stamped with the time, place and your name, and only your manager sees it.
