Set up Velkeep in an afternoon

From free trial to your first guard on site: add a site, add guards, print QR labels and publish a rota.

For managers

Start your free trial

Go to velkeep.com and choose Start free trial. Enter your company name, your name, a username, your email and a password. No card is needed.

You are signed in straight away as the admin of your company. We email you a link to confirm your email address.

Add your first site

  1. Step 1: Open Projects and tap New project.
  2. Step 2: Give the site a name and address, then drop the pin on the map where the site is.
  3. Step 3: Choose what guards do there: photograph assets, location check-ins only, or clock in and out only.
  4. Step 4: Save. You can change the rules later in the site settings.

Add your guards

Open Staff and tap Add guard. Leave the password blank and Velkeep makes a temporary one. If you give their email address they get a welcome email with their username, temporary password and how to get the app.

Then open the site, go to the Guards tab and assign the guards who work there. Guards only see sites they are assigned to.

Add assets and print QR labels

For sites where guards photograph assets, add each asset (generator, cabin, tower light and so on) with its place on the map. Print the QR labels from the site page and stick one on each asset.

Publish a rota

Open Rota, start a blank week or copy last week, add shifts and publish. Guards are told straight away and can accept each shift.
